Vote on two proposed guideline changes:
Guideline Change #1
Reasoning:
The intent of this proposal is to adjust wording related to Activities Sub-Committee Responsibilities & Qualifications to include references to additional sections from the Handling Area Funds: Budget Process, specifically regarding the returning of funds back to area after an Activities event or fundraising initiative has taken place, and to add an additional sub-point regarding more expensive events that require longer planning and “banking” of funds.  The body believes that the proposed updates will offer some needed clarity where the current guidelines fall short.

Proposed Wording:
ARTICLE V: RESPONSIBILITIES & QUALIFICATIONS FOR ASC STEERING COMMITTEE AND SUB-COMMITTEE CHAIRS
  • 13) Activities Sub-Committee
    • f) Will follow guidelines for Handling Area Funds: Budget Process; Article VII, Sections 2, 3 & 4.
      • i) If “banking” of funds is required for a more costly event, a proposal (including required budget) would need to be made to the ASC and voted upon.  On approval, the ASC Treasurer would hold the funds in a sub-account, payable directly by Treasurer to the payee at the required time.
Sections 2 & 3 wording for reference:
  • Section 2) Revenues states “Funds raised through the efforts of sub-committees are turned over to the ASC Treasurer”
  • Section 3) Budget Process states “Any funds gained through sales or fund-raising efforts will be given to the ASC Treasurer at the beginning of the following ASC meeting or deposited directly by the sub-committee chair.”
Guideline Change #2
Additional Context:
The intent of this proposal is to increase flexibility for the current Activities Subcommittee to plan for upcoming events.   Adjusting the requirement from 60 to 45 days would still allow sufficient time for ASC review, potential budget considerations, and fellowship communication, but would provide the subcommittee with a bit more flexible and realistic planning window based on current planning timelines. This proposed change maintains accountability and offers practical flexibility, allowing the subcommittee to operate more effectively and better serve the fellowship in a shorter period of time.
